Terms and Conditions of Sale & Registration Policy

1. Scope of Application

These General Terms and Conditions of Sale (GTCS) govern all online registrations and ticket purchases made by global (non-domestic) participants for the 16th Georg Rajka International Symposium on Atopic Dermatitis (ISAD Beijing 2026). By validating your order and clicking the final confirmation checkbox on our registration system, you acknowledge that you have read, understood, and unreservedly accepted these terms.

2. Modification of Terms

ISAD reserves the right to modify these Terms and Conditions at any time without prior notice. The applicable version is the one in force on the website at the exact moment of your transaction. Participants are advised to download or print a copy of these terms at the time of purchase for their records.

3. Online Booking & Secure Payment (Stripe)

All global participant registrations are processed via our secure online payment platform, Stripe.

• Registration requires selecting the appropriate tier, completing the attendee questionnaire, and executing the secure payment.
• Once payment is cleared, the contract is officially concluded, and an automated booking notification and receipt will be sent immediately to your registered email address by Stripe.
• Payment must be made by credit card or authorized electronic transfer via the gateway. International paper checks are not accepted.
• Tax Note: As an international medical scientific society registered as a non-profit association, our registration fees are net of local VAT charges id any. If you require a custom invoice for institutional accounting purposes, please email the secretariat at registration@isad.org.

4. Right of Withdrawal & Standard Cancellation Policy

In compliance with international distance-selling regulations governing services related to leisure, hospitality, and specific-date events, registrations for the symposium are not subject to a standard 14-day unrestricted cooling-off period once a seat has been reserved. All cancellations and refunds are strictly governed by the following schedule:

• Cancellations requested before October 1st, 2026:
  Participants may cancel their registration and receive a refund of their paid registration fee, subject to a mandatory, non-refundable administrative processing fee of 50€ per ticket. This 50€ fee applies in all cases, regardless of the reason for cancellation or the date of purchase.
• Cancellations requested on or after October 1st, 2026:
  No refunds, partial reimbursements, or cancellations will be granted for any reason (including, but not limited to, VISA refusal, personal schedule conflicts, illness, or travel changes). After this deadline, the full registration fee is entirely non-refundable and forfeited in the event of a “no-show.”

All eligible refund requests must be submitted in writing to the secretariat on or before October 1st, 2026, and will only be credited back to the original credit card or bank account used via Stripe during the initial transaction.

5. Participant Substitution & Modifications

If you are unable to attend, you may transfer your registration ticket to a third-party colleague at no additional cost.

• Transfer requests must be submitted in writing to the secretariat by the primary registrant.
• All new attendee data must be completely submitted no later than October 9, 2026.
  No on-site badge transfers or re-assignments will be permitted once the symposium has officially opened.

6. Visa Invitation Letters for China

International participants requiring an official Visa Invitation Letter to enter the People’s Republic of China must first complete and fully pay for their event registration.

• Due to strict local administrative protocols, invitation letters cannot be issued to non-registered individuals.
• In the event that a visa application is formally rejected by Chinese consular authorities, ISAD will issue a refund of the registration fee, minus a fixed €50 EUR administrative processing fee, provided that official documentary proof of the visa denial is sent to the secretariat at least before October 1st, 2026. No refunds for visa denials can be processed after this date or post-event.

7. Force Majeure & Event Disruption

ISAD and the local organizing committee cannot be held liable for any failure or delay in executing our obligations if such failure arises from a “Force Majeure” event.

• Force Majeure includes, but is not limited to: natural disasters, fires, war, acts of terrorism, total or partial public infrastructure/transportation strikes, major public health emergencies (epidemics/pandemics) triggering governmental travel bans or administrative gathering limits, or the sudden unavailability of the Beijing venue for reasons beyond our control.
• In a Force Majeure scenario, ISAD reserves the right, at its sole discretion, to:
  1. Postpone the event to a future date, automatically rolling over all registration tickets at no extra charge.
  2. Transition the symposium into a fully virtual format (e-congress).
  3. Cancel the event entirely. If a total cancellation occurs, registration fees will be refunded under deduction of non-recoverable operational costs already committed to event preparation (with such deductions strictly capped at a maximum of 30% of the initial ticket price).
• Important Note: ISAD is solely responsible for registration ticket values. Under no circumstances will ISAD reimburse external participant costs, including but not limited to flights, hotel bookings, or visa application fees.

8. Liability, Personal Loss, and Insurance

ISAD disclaims all liability for the theft, loss, or deterioration of personal belongings, electronic devices, or materials brought by participants to the venue in Beijing. Attendees are responsible for safeguarding their own property. Furthermore, while the symposium provides high-level medical transfer of knowledge, the clinical deployment of any techniques or treatments discussed remains the exclusive professional and legal responsibility of the individual healthcare practitioner. All participants must hold valid individual professional liability and comprehensive international travel/health insurance covering their trip to China.

9. Scientific Program & Speaker Substitution

The scientific program is published subject to unexpected changes. While ISAD makes every effort to guarantee the presence of announced global faculty, if a speaker is unavailable due to illness, travel issues, or Force Majeure, we reserve the right to substitute them with an equivalent expert or reorder the session tracks. Such adjustments do not constitute a substantial breach of contract and will not trigger total or partial refunds.

10. Privacy & Data Protection (GDPR, FADP, and PIPL Compliance)

ISAD serves as the data controller and is deeply committed to protecting your personal information.

• All personal data gathered through our registration portal is handled in strict compliance with the European Union’s General Data Protection Regulation (GDPR), the Swiss Federal Act on Data Protection (FADP), and the People’s Republic of China’s Personal Information Protection Law (PIPL) governing cross-border data handlers.
• Your data is collected exclusively to execute your registration, fulfill payment verification through Stripe, provide event badges, manage visa invitation requests, and deliver your post-event digital Certificate of Attendance.
• Your records will be kept securely and will not be shared with unauthorized third parties or commercial entities outside of essential logistical sub-processors (the secure payment gateway and local venue security checks required by Chinese authorities).
• You maintain full legal rights to access, rectify, restrict, or request the erasure of your personal data at any time by contacting our data compliance officer at privacy@isad.org.

11. Governing Law and Jurisdiction

These Terms and Conditions of Sale and all related transactions are governed exclusively by Swiss Law. In the event of an interpretation dispute, an amicable resolution will be prioritized. If a mutual agreement cannot be reached, exclusive legal jurisdiction is granted to the competent courts of Switzerland [Davos].
